Shift Timings: Mon Fri (8 am - 5 pm)
Duration: 13 Weeks
Pay Rate - $28- $35/hr on W2
Location: Burlingame, CA 94010
Job Summary:
We are seeking an experienced and professional Executive Assistant to provide comprehensive, high-level administrative support to senior leadership.
This role requires independent judgment, discretion, and a proactive approach to managing schedules, coordinating communications, and supporting strategic priorities.
The ideal candidate is organized, resourceful, and capable of handling a variety of confidential and time-sensitive tasks.
Key Responsibilities:
Deliver specialized administrative support to executive leadership including calendar management, meeting logistics, and communications.
Coordinate complex scheduling needs, travel arrangements, and events logistics.
Screen calls, emails, and incoming requests; prioritize and handle inquiries with professionalism.
Draft, edit, and format documents including memos, reports, presentations, and internal communications.
Attend meetings, take detailed notes, and track follow-up items to ensure timely completion.
Develop and maintain databases, records, and filing systems.
Act as department timekeeper and support payroll/timekeeping system entries when needed.
Ensure smooth communication and coordination within and between departments.
Handle sensitive information with a high degree of confidentiality and discretion.
Required Qualifications:
Minimum of 5 years of recent experience supporting executive-level leadership.
Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams, etc.).
Proven ability to manage multiple competing priorities in a fast-paced environment.
Strong written and verbal communication skills.
High level of professionalism and discretion when handling confidential information.
Strong organizational, problem-solving, and decision-making skills.
Experience with administrative tools, scheduling software, and timekeeping platforms.
Preferred Qualifications:
Previous experience in a large corporate or healthcare environment.
Familiarity with Workday or similar enterprise resource systems.
