Role Summary:

We are seeking a highly organized, proactive, and discreet Sr. Leadership Administrative Partner to provide comprehensive administrative and strategic support to our Co-CEO/CTO. This pivotal role demands a seasoned professional capable of managing complex calendars, facilitating seamless communication, coordinating high-level meetings and events, and handling confidential information with the utmost discretion. The ideal candidate will be a trusted partner to the Co-CEO, anticipating needs and ensuring the smooth and efficient operation of the executive office.

Responsibilities:
  • Executive Calendar Management: Manage a complex and dynamic calendar for the Co-CEO, scheduling and prioritizing appointments, meetings, and travel arrangements with exceptional attention to detail.
  • Communication & Correspondence: Screen and manage incoming communications, including emails, and correspondence, ensuring timely and professional responses. Draft and prepare correspondence, presentations, and reports as needed.
  • Travel & Logistics: Arrange and manage complex domestic and international travel itineraries, including flights, accommodations, transportation, and visa processing.
  • Meeting & Event Coordination: Plan and coordinate high-level meetings, off-sites, and events, including agenda preparation,and logistics management.
  • Confidentiality & Discretion: Maintain strict confidentiality regarding all sensitive information and exercise sound judgment in handling confidential matters.
  • Project Management: Lead and manage ad-hoc projects and initiatives as assigned by the Co-CEO, demonstrating strong organizational and problem-solving skills.
  • Relationship Management: Build and maintain strong relationships with internal and external stakeholders, acting as a professional and courteous representative of the Co-CEO and the company.
  • Documentation & Organization: Organize and maintain electronic and physical filing systems, ensuring easy access to important documents and information.
  • Onboarding Support: Assist with onboarding new executive-level hires, ensuring a smooth transition.
  • NDA Execution: Support the execution of Non-Disclosure Agreements.
  • Team Collaboration: Collaborate with other administrative staff and departments to ensure seamless operations and support company-wide initiatives.
Qualifications:
  • Bachelor’s degree or equivalent experience required.
  • Minimum 5-7 years of experience as an Executive Assistant, supporting C-level executives in a fast-paced technology or enterprise environment.
  • Proven ability to manage complex calendars, travel arrangements, and expense reporting.
  • Advanced proficiency in Google Suite.
  • Exceptional organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and the ability to build and maintain relationships with diverse stakeholders.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • High level of discretion, confidentiality, and professionalism.
  • Ability to anticipate needs and proactively address challenges.
  • Experience planning and executing large scale events.
  • Ability to work outside of normal business hours as needed.
  • Strong business acumen.
  • Positive attitude and team player mentality.
Pay Disclosure:

Salary Range for California Based Applicants: 107,000 USD - 133,800 USD (actual compensation will be determined based on experience, location, and other factors permitted by law).

Benefits Summary: Rivian and Volkswagen Group Technologies provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
